Job Title: Virtual Event Planner

15-20 hrs @ $18-25 per hour

Overview:

Women in Cleantech and Sustainability (WCS) is A 501 C (6) nonprofit organization that fosters an influential network of professionals to further the roles of women in growing the green economy and making a positive impact on the environment.

We are looking for a dynamic and innovative Virtual Event Planner to join our team. In this role, you will be responsible for conceptualizing, planning, and executing engaging virtual events that connect and inspire our audience. The ideal candidate will have a strong understanding of virtual event technologies, excellent project management skills, and a creative approach to online experiences.

The ideal hire will have a demonstrated passion for the WCS mission. This role takes direction from the Board and reports directly to the Chairwoman &Excuective committee working along closely with the Events Committee. It will require professional presence to interact with the founder, board members, partners and members with concise and proficient execution. Passion, patience, tact, organization, discipline, good communication and motivation to complete tasks independently are essential skills for the successful candidate.

This position is on a contract basis and the incumbent is responsible for payment of state and federal taxes as well as other required deductions. Work is performed remotely and will not be required to come into an office. Responsibilities include (but are not limited to) the following.

Responsibilities:

– Collaborate with WCS board members, volunteers, and third-party stakeholders to understand their virtual event objectives, budget, and audience demographics, and desired outcomes for WCS programs.

– Develop creative concepts and themes for virtual events that align with the events committee and enhance attendee engagement.

– Research and recommend virtual event platforms, tools, and technologies that meet the need and budget of each event.

– Coordinate all logistical aspects of virtual events, including scheduling, speaker coordination, content development, and technical setup.

– Advise on marketing and promotional strategies to drive attendance and participation in virtual events, and coordinate with paid marketing staff, and the Marketing Committee.

– Create engaging event agendas, including keynote presentations, panel discussions, interactive workshops, and networking opportunities.

– Collaborate with volunteers to manage event registration, attendee communications, and technical support before, during, and after virtual events.

– Oversee/run virtual event production and execution, including running zoom webinars, rehearsals, live streaming, audience interaction, and troubleshooting.

– Monitor and analyze key performance metrics for virtual events, such as attendance rates, engagement levels, and audience feedback, and compile data for event reporting purposes.

– Stay informed about emerging trends and best practices in virtual event planning and technology to continuously improve event experiences.

– Work with cross promotion partners to activate attendance and engagement

– Manage virtual event budget and timeline in accordance with event policy

Qualifications:

– Bachelor’s degree in Marketing, Communications, Event Management, or related field (preferred).

– Proven experience (2+ years) in virtual event planning, coordination, or production.

– Strong technical proficiency with virtual event platforms (e.g., Zoom, Hopin, Remo), live streaming software, and digital collaboration tools.

– Excellent project management skills, with the ability to manage multiple projects simultaneously and meet deadlines.

– Creative problem-solving abilities and a passion for innovation in the virtual event space.

– Outstanding communication and interpersonal skills, with the ability to collaborate effectively with clients, vendors, and internal teams.

– Detail-oriented with a focus on delivering high-quality, seamless virtual event experiences.

– Flexibility to adapt to changing priorities and work non-traditional hours as needed for virtual events.
