Job Title: Administrative Coordinator / Tracker / Reporter

15-20 hours $25-$30 per hour

Overview:

Women in Cleantech and Sustainability (WCS) is A 501 C (6) nonprofit organization that fosters an influential network of professionals to further the roles of women in growing the green economy and making a positive impact on the environment.

We are seeking a detail-oriented and organized individual to join our team in the role of Administrative Coordinator, Tracker, and Reporter. This multifaceted position involves providing administrative support, tracking key metrics and data, and preparing reports to support decision-making and communication within the organization. The ideal candidate will be proficient in data analysis, have strong organizational skills, and possess excellent communication abilities. This role is crucial in ensuring the smooth operation of our organization and providing valuable insights through data reporting.

The ideal hire will have a demonstrated passion for the WCS mission. This role takes direction from the Board and reports directly to the Chairwoman and Excuective Committee working closely with the EventsCommittee, Marketing Committee, Membership Committee, Career
Development Committee and Entrepreneurship Committee . It will require professional presence to interact with the founder, board members, partners and members with concise and proficient execution. Passion, patience, tact, organization, discipline, good communication and motivation
to complete tasks independently are essential skills for the successful candidate. The Board is seeking someone who is a self starter and able to project manage with minimal direction who can then follow up with the Board as needed.

This position is on a contract basis and the incumbent is responsible for payment of state and federal taxes as well as other required deductions. Work is performed remotely and will not be required to come into an office. Responsibilities include (but are not limited to) the following.

Responsibilities:

Administrative Coordinator:

– Provide administrative support to various committees within the WCS organization, including scheduling meetings, events meeting agenda, managing calendars, and handling correspondence.

– Assist in the preparation of documents, presentations, and reports for internal and external stakeholders.

– Maintain organized filing systems and databases to ensure efficient access to information.

– Coordinate travel arrangements and accommodations for team members as needed.

– Assist with special projects and initiatives as assigned by senior management.

Tracker:

– Develop and maintain tracking systems to monitor key performance indicators (KPIs), project milestones, and operational metrics.

– Collect, compile, and analyze data from various sources to generate reports and dashboards.

– Identify trends, patterns, and discrepancies in data and provide insights to inform decision-making.

– Collaborate with team members to ensure data accuracy and consistency across all tracking systems.

– Proactively identify opportunities for process improvement and optimization based on tracking data.

Reporter:

– Prepare regular and ad-hoc reports on organizational performance, project status, and key initiatives for internal stakeholders and leadership.

– Translate complex data into clear and actionable insights through visualizations, charts, and narratives.

– Present findings and recommendations to management and other relevant stakeholders in meetings or presentations.

– Monitor industry trends, benchmarks, and best practices to enhance reporting methodologies and deliverables.

– Respond to data inquiries and provide support to stakeholders in interpreting and utilizing reporting information effectively.

Qualifications:

– Bachelor’s degree in Business Administration, Data Analytics, Communications, or related field (preferred).

– Proven experience (2+ years) in administrative support, data tracking, and reporting roles.

– Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and data visualization tools (e.g., Tableau, Power BI).

– Strong analytical skills with the ability to collect, organize, analyze, and disseminate large datasets.

– Excellent written and verbal communication skills, with the ability to communicate complex information clearly and concisely.

– Detail-oriented with a high level of accuracy in data entry and reporting.

– Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
