Operations Associate | Powerflex | NYC

Scope of Job:

The Operations Associate plays a crucial role in making sure the organization is running smoothly and leads the daily administration, operations, and organization of the NYC-based office and team. A successful candidate will enjoy working across the entire organization on a variety of projects and tasks and is comfortable taking on new projects and leading initiatives. Powerflex is always looking to improve every function of our business, and any suggestions for efficiencies or improvements are welcome and encouraged! This role is flexible but will require some time on-site during working hours and may require some overtime for company-wide events. 


Roles and responsibilities include but will not be limited to:


  • Schedule and plan meetings and appointments for leadership team and guests
  • Prepare and submit expense reports for specific leaders
  • Assist in travel coordination for interviews and particular company-wide events
  • Maintain relationships with suppliers and vendors, sourcing new services as needed
  • Coordinate with other departments to ensure compliance with established policies
  • Communicate any office-related updates to necessary employees


  • Order and set up new computers, monitors, and accessories as needed
  • Maintain office supplies and snacks/beverages; coordinate catering orders
  • Receive, sort, and distribute mail and packages
  • Coordinate with other departments to ensure compliance with established policies
  • Manage company-owned vehicles and employee use

Organization and Culture:

  • Maintain office environment, including but not limited to conference rooms, kitchen, technology/storage closet and shelving, and office desk reservation system
  • Lead or assist in planning company, department, and team office events

Required Skills:

  • 3+ years of experience as a technical writer or in a related role
  • Excellent technical writing, editing, and proofreading skills
  • Strong technical aptitude with the ability to quickly learn new concepts and tools
  • Exceptional ability to organize information in an easy-to-understand structure and translate complex ideas into simple ones
  • Experience in writing detailed documentation for B2B and B2C companies
  • Enthusiasm for cross-functional collaboration with people in all ranks, teams, and disciplines across the company
  • Excellent work ethic and strong intellectual curiosity
  • Ability to work quickly, efficiently, and multi-task
  • Desire and ability to innovate and improve upon current processes


  • 2+ years of experience in Administration, Event Planning, Human Resources, or any related field
  • Bachelor’s Degree required
  • Prior experience working in technology companies, startups, or dynamic environment a plus
  • Proficiency in Microsoft 365 and general aptitude for software tools.
  • Comfortable working in mixed environments of hardware development and traditional office space.
